EVENT ELIGIBILITY:
The GBS Santa Cop Tournament is for Recreational and Advanced Recreational (Premier) All-Star teams only. No Select teams or players are allowed to participate. This tournament is designed for true baseball recreational All-Star teams—no club teams or independent teams allowed, and no select players.
Teams must have insurance and rosters on file through NCS software before play.
REGISTRATION PRIORITY:
GBS aims to give priority in the registration process to other city baseball associations that participate in DFW Interlock (www.dfwinterlock.com) and/or TEBA (www.dfwteba.com) (“Priority Associations”). To achieve this through the NCS registration platform, all teams will initially go on the waitlist, and the tournament director will manually move teams from Waitlist to Confirmed status based on the following criteria:
- Priority Association teams will have registration priority from October 1 – October 6. On October 7 at 9am, registration will open up to all other Recreational teams.
- During the priority window, each Priority Association is allowed 1 Premier team and 1 Rec All-Star team (this restriction does not apply to host city teams).
- Before opening registration to other teams, the tournament director will move all additional Priority Association teams from the Waitlist to Confirmed status, space permitting.
Age Divisions and Expected Number of Teams:
- 6U: 6 Teams
- 7U: 10 Teams
- 8U: 10 Teams
- 9U: 14 Teams
- 10U: 8 Teams
- 12U: 8 Teams
- 14U: 4 Teams
TOURNAMENT FORMAT:
All teams will play two (2) pool games followed by a single-elimination bracket based on seeding from pool games. Each team must provide one (1) new "game quality" ball for each game.

SCHEDULE REQUESTS:
Schedule requests must be submitted using the "Schedule Request" tab no later than Friday, October 25. We will do our best to accommodate requests, but there are no guarantees.
REGISTRATION UPDATES:
This season, all registration will go through PlayNCS.com. Coaches are required to pay a one-time $25 sanction fee (discounted from the $80 fee) in addition to the tournament registration fee for their division. Multiple local association All-Star tournaments are using the PlayNCS.com platform, so the one-time $25 fee covers other tournaments as well. During registration, coaches will also need to complete a background check as part of NCS tournament requirements.

FACILITY RULES FOR GRAPEVINE COMPLEXES:
- NO METAL CLEATS on any field
- Teams must remove all items from the dugouts and pick up their trash
- No sunflower seeds, spitting, or chewing by teams or spectators
- No hanging cameras or items on the backstop netting
TOURNAMENT RULES:
The GBS All-Star Tournament will follow the NCS National Baseball Rules listed on PlayNCS.com, with the following exceptions:
- Run Limit: Maximum of 5 runs allowed per half inning.
- Bracket Play Tie-Breaker: A Modified California Tie-Breaker will be used for all bracket play games (except the championship game) that go into extra innings or time after regulation.
- Each half inning starts with the bases loaded and one out.
- Teams will continue the batting order from the previous inning.
- The last three batters from the previous inning will occupy the bases.
- 5-Minute Rule: No new inning will start within the last 5 minutes of regulation, except for championship games.
- In case of excessive schedule delays due to weather or other circumstances, the tournament director has discretion to shorten game times to complete the remaining schedule. The City of Grapevine has a strict light ordinance that we must comply with.

GAME/REFUND INFORMATION:
- Three-game guarantee: Two pool games followed by single-elimination bracket play.
- Awards for 1st and 2nd place in each division.
- Payments must be made in advance.
Refund Policy:
No Refunds After Game Times Are Posted! Once the tournament schedule is finalized, a $75 administrative fee will not be refunded.
Refunds will be calculated as follows: (Registration Fee - $75 Administrative Fee) ÷ Game Guarantee. Any game that has started will be considered a game played.
Full Refunds: Full refunds will be issued if the tournament is canceled due to weather before it starts.
If the tournament begins and is later canceled due to weather, no administrative fee will apply, and refunds will be calculated as follows: (Registration Fee ÷ Game Guarantee). However, please note that the NCS sanction fee is non-refundable in the event of a weather cancellation.
PAYMENT POLICY:
Event registration fees must be paid to confirm your team's spot in the tournament. Teams that choose to pay later may be moved to the waitlist if other teams register and pay first, regardless of registration date.
TOY DRIVE:
Every year, we team up with the Grapevine Santa Cops toy donation program to help collect toys for local families. We ask that each player bring an unwrapped toy (valued at $20) as part of the tournament fees.
