2025 GBS Rec Softball All Star Tournament

EVENT ELIGIBILITY: 

The GBS All-Star Tournament is for Recreational and Advanced Recreational Softball (Premier) All-Star teams only.   No Select teams or players are allowed to participateThis tournament is designed for the true softball recreational All-Star team. -- no club teams or independent teams allowedNo select players allowed 
 

Teams must have insurance and rosters on file through NCS software before play. 
 

REGISTRATION PRIORITY  

The GBS desires to give priority in the registration process to other city softball associations that participate in Mid Cities Softball Interlock (DFW Mid Cities Interlock ) (“Priority Associations”). In order to achieve this on the NCS registration platform, all teams will initially go on the waitlist and the tournament director will move teams from Waitlist to Confirmed status manually based on the following criteria: 

  • Priority Association teams will have registration priority from May 1st - May 8th. On May 9th at 9am, registration will be opened up to all other Recreational teams. 

  • During the priority window, each Priority Association will be allowed 1 Premier team and 1 Rec All-Star team (this restriction does not apply to host city teams). 

  • Before opening registration up to all other teams, the tournament director will move all additional Priority Association teams that are on the Waitlist to Confirmed status to the extent space is available. 

 

PAYMENT POLICY:  

The event registration fee must be paid to confirm your team's spot in the tournament. Teams that choose to pay later may be moved to the waitlist if other teams register and pay before them, regardless of when they register. 

 

Age Divisions and Expected Number of Teams 

6U: 4 Teams 

8U: 16 Teams 

10U: 16 Teams 

12U: 6 Teams


Age Qualifications for this Event:

Please note: This event will not follow the NCS Fastpitch age guidelines.


Instead, we will follow the DFW Interlock Softball age determination date, which is December 31, 2024. Age divisions are based on the player's age as of that date.


FORMAT: 

All teams will play two (2) pool games with a single elimination bracket based on seeding from pool gamesGames balls will be provided by The City of Grapevine.

SCHEDULE REQUESTS: 

Schedule requests must be submitted using the "Schedule Request" tab no later than Friday, May 30We will do our best to accommodate requests, but there are no guarantees for schedule requests 
 

REGISTRATION UPDATES: 

This season all registration will go through PlayNCS.com. Coaches will be required to pay a one-time $25 sanction fee (discounted from the $80 fee) in addition to the tournament registration fee for their division. Multiple local association All-Star tournaments are using the PlayNCS.com platform so the one-time $25 fee will cover the other tournaments as wellDuring registration, coaches will be asked to complete a background check as a requirement for NCS tournaments.

FACILITY RULES FOR GRAPEVINE COMPLEXES: 

  • NO METAL CLEATS on any field 

  • Teams are to remove all of their items from the dugouts and pick up their trash 

  • No sunflower seeds, spitting or chewing by teams or spectators 

  • No hanging cameras or other items on the backstop netting 

The following are NOT allowed at all locations:

Electric Scooters, Razor Scooters, Roller Blades, Skateboards, and Bicycles around the stands or concession stands for the safety of everyone at the facilities.

BEHAVIOR AT EVENTS

City of Grapevine have a zero-tolerance policy towards disrespectful and abusive behavior. Any fan, parent, player, or coach will be ejected from the event for such behavior towards a tournament official, umpire, or another team. Anyone ejected must immediately leave the facility and is ejected for the full tournament. Depending on the severity of the behavior, the ejected person may be subject to a permanent ban. Good Sportsmanship is always needed in a youth sports environment. Remember, these are games played by children. Be your player's biggest fan.


SPORTSMANSHIP

The head coach of each team is responsible for the sportsmanship of his/her players, parents, assistant coaches, and fans. Coaches need to ensure they are demonstrating good sportsmanship so they set a good example for others to follow.


INTERACTION BETWEEN COACHES AND UMPIRES

Only the head coach may interact with the umpires regarding questions, appeals, rules challenges, etc. Please allow the head coach and the umpire to work through any issues that may arise. We ask that all participants respect the umpires and game officials.


Tournament Payment & Refund Policy

Payment Policy

Tournament ‘Entry Fee’ payments are due upon registration for the tournament. Registration is not complete until the ‘Entry Fee' payment is received. If an age group is filled, a waitlist will be created for late-registered teams based on the order in which they were placed on the waitlist. If space opens for that age group, teams on the waitlist will be allowed to register for the tournament based on that position. No team will be scheduled without its registration being complete.


Weather/Rainout Policy

If games are cancelled due to the weather after pool play games are completed, awards will be given to the highest seed. Pool play is important!

If no games are started/played = FULL REFUND (minus $35 admin fee) (additionally, credit card processing fees are non-refundable)

If one game is started/played = 50% REFUND (credit card processing fees are non-refundable)

If both pool play games are started/played = NO REFUND


Withdraw Refund Policy

Refunds will be given to "withdrawing" teams based on the following:

10 days in advance of tournament start date = FULL REFUND (minus $35 admin fee) (credit card processing fees are non-refundable)

6-9 days in advance of tournament start date = 50% REFUND (credit card processing fees are non-refundable)

5 days or less = NO REFUND
