COSTUME RULES

We’re excited to announce that all championship rings will be Halloween-themed 🎃💍

And to make things even more fun, we’re adding a Halloween Costume Contest to the event!

🎭 Costume Contest Rules:

• Players, coaches, and teams can dress up in any Halloween costume on Saturday.

• The best costumes in each age group will win:

o Individual costume trophies

o FREE team entry into one event this fall or any spring event through May 2026.

📌 Notes:

• To enter, teams just need to show up for a team picture before games. (Exact location will be included in next week’s coach’s email.)

• Costumes are optional—but encouraged to make the event more fun!

• Teams do not have to play in costume.

• Winners will be chosen by on-site directors, umpires, and staff on Sunday.

• After pictures, we’ll also be handing out candy for the players—just like Halloween! 🍬

We’re looking forward to a great weekend of baseball and Halloween fun!

TEAM REQUIREMENTS

All teams must:

• Be registered and sanctioned with NCS for the current 2025-2026 season.
• Upload and submit a copy of team insurance or pay $40 at check-in.
• Complete and update online player rosters.
• Submit entry fee payment by the Monday before the tournament date.
• All Pine Tar Sports tournaments are FIRST PAY/FIRST PLAY. Your entry into an event is not complete until you have paid the entry fee and/or the gate fee, regardless of whether you have registered for the tournament. The division may sell out (and oftentimes does) prior to the payment deadline. The number of available spots in any given division may fluctuate.

WEATHER CANCELLATIONS

• 0 games started: 100% credit.
• 1 game started: 50% credit.
• 2 games started: No credit.

CREDIT POLICY

Starting August 15th 2025

We will no longer issue refunds for events, credits ONLY towards other Pine Tar Events.

• Teams withdrawing by Sunday (prior to the event start date): 100% credit.
• Teams withdrawing after Sunday but by 12 PM on Monday: 50% credit.
• Teams withdrawing after 12 PM on Monday: No credit.
• Teams in divisions that do not make: 100% credit.
• Credits can only be used toward another Pine Tar tournament.

PAYMENT, ROSTERS & INSURANCE

• Entry fee payment deadline: Monday before event date.
• Payment Options:
  • Online: NCS Online Account

• Include in payment notes: Team Name, Division, Tournament Name, and Date 
• Insurance Upload Required:
• • If purchased outside NCS, NCS must be added as an additionally insured party.

Background Check (Effective 9/1/2025)

All adults who enter the dugout, playing field, or interact with players in an official coaching capacity are required to be listed on the coaches tab of the team's page on the NCS Website. This will require the manager or coach to complete a certified background check through the NCS website. The background check application is completed during the team registration process or when you accept access to the team, once invited by a team admin. Any individual who has not completed an official NCS background check must immediately apply to continue on-field or dugout participation. Failure to complete or submit the required background check will result in removal from the dugout, playing field, and restriction from all coaching activities. 

GAME TIME LIMITS

• Coach Pitch Games: 55m Pool / 65m Bracket
• 9U-14U Games: 1h 25m Pool / 1h 30m Bracket
• 15U-16U Games: 1h 45m Pool & Bracket

GENERAL ADMISSION

We are no longer accepting cash or other electronic payments at the gates. All tickets must be purchased in advance or online at the gate.

  • 3 Coaches per team

TOURNAMENT FORMAT

• 3 Game Guarantee
  • Saturday: 2 Pool Games
  • Sunday: Single Elimination Bracket Games

Game Scheduling:

• Teams must be available to play Saturday 8:00 AM - Sunday 10:00 PM.
• Be ready to play 15 minutes before scheduled time.
• Game clock starts after the plate meeting.
• No 5-minute grace period. Meaning new inning starts even with seconds remaining on the clock.   
• Games must run the full time limit unless 6-7 innings are complete or run-ruled.

PRIZES & AWARDS

• Gold Division Champions: 12 Pine Tar Championship Rings
• Silver Division Finalists: 12 Pine Tar Silver Rings
• MVP Awards: One per team in the championship game
• Championship Banners for Gold and Silver divisions

VENUE RESTRICTIONS

• No metal cleats on portable pitching mounds or turf surfaces.
• No food/drinks on turf playing fields, dugouts, or pitching mounds.

OFFICIAL LINE-UP / SCORECARD

• Must be completed and turned in to the Home Plate Umpire before each game.
• All participating players must be listed online.
• Late-arriving players must be listed before they can play.

TIE GAME RULES

• Pool Play: Game ends in a tie once time expires.
• Bracket & Championship Games: Loaded bases, last 3 batters on, 1 out, count 0-0.

MERCY RUN RULES

• 15 runs after 3 innings
• 10 runs after 4 innings
• 8 runs after 5 innings

HOME TEAM DETERMINATION

• Pool Play: Coin Flip
• Bracket Play & Championship Games: Higher Seed Chooses Home/Visitor
