EVENT ELIGIBILITY:

The GBS Santa Cop Tournament is open to Recreational and Advanced Recreational Softball (Premier) All-Star teams only. No Select teams or players are allowed. This tournament is exclusively for true recreational All-Star teams—no club or independent teams.
Teams must have insurance and rosters on file through NCS software prior to play.

REGISTRATION PRIORITY:

GBS is giving priority to other city softball associations that participate in the Mid Cities Softball Interlock (DFW Mid Cities Interlock) (“Priority Associations”). All teams will initially be placed on the waitlist, and the tournament director will manually confirm teams based on the following criteria:

  • Priority Association teams have registration priority from October 1 – October 6. Registration opens to all other recreational teams on October 7 at 9 AM.
  • During the priority window, each Priority Association can register 1 Premier team and 1 Rec All-Star team (host city teams are exempt from this limit).
  • Before opening registration to all other teams, additional Priority Association teams on the waitlist will be confirmed, space permitting.

AGE DIVISIONS & EXPECTED NUMBER OF TEAMS:

  • 6U: 6 Teams
  • 8U: 14 Teams
  • 10U: 12 Teams
  • 12U: 6 Teams

FORMAT:

Each team will play two (2) pool games followed by a single-elimination bracket based on pool game seeding. Game balls will be provided by The City of Grapevine.

SCHEDULE REQUESTS:

Schedule requests must be submitted via the "Schedule Request" tab no later than Friday, November 1. While we will do our best to accommodate, there are no guarantees.

REGISTRATION UPDATES:

All registration will take place through PlayNCS.com. Coaches must pay a one-time $25 sanction fee (discounted from $80), in addition to the tournament registration fee. This $25 fee covers multiple local association All-Star tournaments using the PlayNCS platform. Coaches will also need to complete a background check to participate in NCS tournaments.

FACILITY RULES FOR GRAPEVINE COMPLEXES:

  • NO METAL CLEATS on any field
  • Teams must remove all items from the dugouts and pick up trash
  • No sunflower seeds, spitting, or chewing by teams or spectators
  • No hanging cameras or items on the backstop netting

TOURNAMENT RULES:

We will follow the Mid-Cities Interlock aging date, January 1, 2024.

DIVISION TOURNAMENT RULES:

REFUNDS:

No refunds will be issued after game times are posted. A $75 administrative fee will be non-refundable once the tournament starts. Refunds will be calculated as follows:
(Fee minus $75 administrative fee) ÷ Game Guarantee
Any game started counts as a game played.
Full refunds will be given if the tournament is canceled due to weather before it begins. The NCS sanction fee will not be refunded if canceled due to weather.

PAYMENT POLICY:

The event registration fee must be paid to confirm your team's spot. Teams that select “pay later” may be moved to the waitlist if other teams register and pay in full before them.

TOY DRIVE:

We proudly partner with the Grapevine Santa Cops toy donation program to collect toys for local families. Each player is asked to bring an unwrapped toy (minimum $20 value) as part of the tournament fee.
